Operations Manager

  • Calls to/from clients, contractors, homeowners, developers, and site measurements. Calls pertaining to request for payments, scheduling requests, request to engage attorneys/consultants. 

  • Sending invoices that are outstanding weekly and follow up calls for payments. Obtaining signatures on ALL proposals. 

  • Inputting payments received and paying bills.

  • Coordinate between consultants of all projects and organization of all consultants.

  • Social Media Management – providing Social Media Managers with project addresses for posting and coordinating with owners of finished projects to retain more imagery.

  • Plat of Survey cost requests and engage to/from Surveyors and follow ups. There should be continuous follow-ups until we receive the survey. 

  • Proposals must be drafted within 24 hours of phone call and sent within 48 hours. Follow up with Kaya. If a plat is needed to determine probability, require client to pay for plat ahead of time. 

  • Fill out Form 400 with designer on project for each project, near the end portion of a project.

  • Compiling all LOIs and necessary paperwork to submit to CoC. 

  • Filing Employee forms and paperwork as required (insurance, new employees, etc.) Participate in hiring and training of designers and managers.

  • Organize and oversee the schedules of designers, managers, and scheduled employees/clients. 

  • Handles hiring, discipline + termination of employees as needed and in accordance with the company policies. 

  • Identity opportunities for improvement and growth. Competitions, Women in Business, setting up opportunities for all employees to better help their skills or engage in seminars. 

  • Oversee entire project budget alongside with the project designer to mitigate cost of project not to exceed 50% of project budget cost. 

  • Communication with I.T. support for emergencies and resolving items ASAP.

  • Communication between designers, clients, and managers for any changes on Pipedrive or within the server/email written communication. 

  • Ensures all required payments are made on time by clients. Ensures all outstanding payments are paid within 30 – 90 days increments. Ensures any changes are included on proposals/estimates so they can be billed on the final invoice. Working with designers weekly on their project progress, to implement the changes into the estimates for review and to be sent off for payments. 

  • Initial paperwork for Zoning, Building Dept. + Completion as possible EPP/PVC Permits. 

  • Lead coordination and integration of efforts among operations and new technologies with procedure changes among staff. 

  • Quarterly Review of outstanding payments and/or projects that need to be reviewed to continue.  

  • Coordinating parties, lunches/dinners holiday gifting etc. for employees and clients.

  • Position can pay up to $75K depending on experience.

  • This is an in-office position and will not have an option for work from home.

  • Office hours are from 8:30am to 4pm.


Architectural Designer; CAD Drafter

  • This position is responsible for working underneath the supervision of Architects and Engineers to assist in the drafting and design of buildings and other structures and mentoring interns. The Senior Architectural Designer will have three main customers: the Client, Discipline Design Leads, and Management Team. Will interface daily primarily with internal/ external stakeholders, including but not limited to: Project Management Team, Architects, Design Leads, QA/QC Manager, and the Architectural Discipline Lead.

  • Ideal candidate will have a minimum of 5 years of experience in construction drafting - specifically wood frame construction with the use of AutoCAD and Revit.  Additional software experience and rendering tools are a plus.  Must understand local Chicago Building Codes.  LEED® AP with Specialty or GA (Green Associate) also a plus.

  • Bachelor’s degree in Architecture or Master’s in Architecture preferred, but not required.

  • $25 to $40 per hour depending on experience.

  • Full-Time or Contract

  • This can be an on-site or work from home position for the right individual.

  • Multiple positions available.


Graphic Designer

  • Must have experience working with entire Adobe Suite and Rino 3D and other 3D software.

  • Part-time or contract or paid per project basis.
